What the CRM owns
A broker CRM coordinates client records and operational workflows. It may store status, trigger trading-account creation and display information received from other systems. The trading platform, payment service and verification provider can each remain authoritative for their own records. Define that ownership explicitly so two systems do not silently overwrite the same field.
Follow one account-opening journey
An application becomes eligible, a provisioning request is issued, the platform creates an account and the CRM records the result. Each step should have an identifier and a visible state. A timeout between creation and confirmation is a reconciliation problem, not proof that no account exists. This is why idempotent requests and outcome queries are important.
Separate financial events from status display
A payment notification, a ledger entry and an updated balance display are not interchangeable events. Determine which operation is authorised at each boundary and how duplicate or out-of-order notifications are handled. A CRM can consume a verification status without replacing the provider that performs the verification.
Plan an ownership matrix
For each workflow, list the source system, destination, identifier, trigger and reconciliation method. Include manual operational actions, since they can change state outside the normal automation. The matrix below illustrates a design approach; the actual authoritative system must be agreed for your architecture.
Test recovery and permissions
Acceptance should cover duplicate requests, rejected permissions, unavailable platform interfaces and partially completed workflows. Check that administrators can investigate errors without editing databases directly. Handover should include the operation catalogue, dependency versions, access roles and the procedure for recovering an interrupted account workflow.
Example ownership matrix
| Record or event | Possible authoritative system | Verification required |
|---|---|---|
| Client identity | CRM or selected identity service | Stable identifier and update ownership |
| Trading account | Trading platform | Provisioning outcome and reconciliation |
| Verification status | Selected verification provider | Event validity and policy decision |
| Payment event | Selected payment or ledger service | Unique event and duplicate protection |
| Displayed account state | Derived view in CRM | Freshness and source correlation |
